Job Overview

We are seeking an experienced and skilled Administrative Support Specialist to join our team at blithequark. As a key member of our operations, you will be responsible for managing account receivables, dispatching jobs, handling phone calls, and performing data entry tasks. Key Responsibilities

  • Manage account receivables, ensuring timely and accurate processing of payments and invoices
  • Dispatch jobs to our team of technicians, coordinating schedules and ensuring efficient allocation of resources
  • Handle incoming phone calls, responding to customer inquiries and providing exceptional customer service
  • Perform data entry tasks, maintaining accurate and up-to-date records in our database
  • Utilize QuickBooks to manage financial transactions, reconcile accounts, and generate reports

  • Participate in on-call shifts, providing support and coverage as needed

Essential Qualifications

  • High school diploma or equivalent required; associate's or bachelor's degree in business administration, accounting, or a related field preferred
  • Minimum 2 years of experience in an administrative support role, preferably in a restoration or construction industry
  • Proficiency in QuickBooks, Google Docs, and Spreadsheets; experience with other accounting software and systems a plus
  • Excellent communication and customer service skills, with the ability to respond to customer inquiries and resolve issues in a professional and courteous manner
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
