POSITION OVERVIEW:

The Project Manager resides under Home and Hospital Instruction within the Office of Health Services, Division of Student Support of the Boston Public Schools, reporting to the Senior Director of Health Services or designee. The Project Manager's responsibilities include supporting the administrative needs of the Home & Hospital Instruction Program, such as payroll, budget management, contract management and procurement, spreadsheet and database management, data analysis, written and verbal communications, records management, dissemination of student records to schools and coordination of student scholastic records to advance the mission of the Boston Public Schools. The position will have a particular need for flexibility to shift among tasks when called upon. The Project Manager will serve in a mid level role within Home and Hospital Instruction. The Project Manager will also be responsible for having a particular focus in data management with regard to managing Home and Hospital cases.

RESPONSIBILITIES:

Project Management, Operations
  • Serve as a first point of contact for the Home & Hospital Instruction Program, demonstrating excellent interpersonal skills, strong decision-making, and the ability to act as a gatekeeper to route inquiries to appropriate parties in a timely manner.
  • Responsible for data entry and retrieval of student information from the Aspen Student Information System (SIS).
  • Support the coordination and dissemination of student scholastic records from home and hospital tutors to schools' guidance or to our contacts and dissemination of hospital physician's statements to school nurses at least weekly, to ensure timely and accurate student grading and updated paperwork at school level.
Data Management
  • Support the coordination and management of Home & Hospital systems, including records management, notes and reference documents, agendas, and archive management using Google Drive.
  • Manage a database of school-based contacts for Home & Hospital Instruction, including but not limited to guidance counselors, special education staff, social workers, nurses, and/or family liaisons.
Operations, Training, Communication
  • Follow-up on incoming issues and concerns, including those of a sensitive or confidential nature; refer to the Coordinator or Senior Director of Health Services, or determine the appropriate course of action, referral, or response when appropriate.
  • Work with the Coordinator to prepare and facilitate high quality training, professional development, presentations, collateral materials, and technical assistance resources to support the communication and awareness of policies, processes, and procedures, as well as the recruitment, orientation, and training of tutors.
  • Support quality assurance monitoring of systems, while aiding in the implementation of new initiatives and systems for continuous improvement within Home & Hospital Instruction.
  • Provide ongoing technical assistance, administrative support, and issue resolution to tutors.
  • Support data integrity by verifying student data provided by hospital vendors and verifying student record information in all invoices, scholastic records, and timesheets.
  • Use of Home & Hospital databases, historical data, and archives to produce various reports and spreadsheets and vendors tracking expenditures
  • Utilize Google Drive and the district financial management system to facilitate budget management, procurement, and purchasing.
  • Assist the Coordinator with communications to school-based staff and families to ensure successful coordination of a student's transition back into the traditional classroom.
Budget Management
  • Receive/process/track invoices, and process Home and hospital payroll to ensure prompt payment to contractors and tutors.
  • Develop and maintain strong working relationships with parents, school nurses, guidance counselors and special education departments.
  • Assist with development and implementation of project management tools such as work plans, student records management, records tracking, and database management
  • Responsible for data entry, administration, and tracking of student and tutor data for the Home & Hospital Instruction Program.
Other duties as assigned by Supervisor

QUALIFICATIONS - REQUIRED:
  • Bachelor's degree and/or 3-5 years administrative, managerial or professional
  • experience in public service within an urban area
  • Understanding of the community served by the Boston Public Schools
  • Strong ability to work as part of an active team, work simultaneously on multiple tasks and projects, prioritize daily activities, and professionally represent division to partners both within and outside of the BPS
  • Solid data and financial management and analysis skills; demonstrated experience in developing spreadsheets and reports/ database management
  • Advanced skills in Google Suite and/or Microsoft Suite; proficiency in developing/maintaining websites
  • Excellent planning, project management and organizational skills with strong attention to detail
  • Able to use discretion and protect confidentiality in student and employee matters
  • Very strong interpersonal skills, ability to develop good relationships and network with various populations; Strong written and oral communication skills
  • Proven ability to analyze complex problems and propose appropriate solutions
  • Passion for educational equity and supporting the well-being of children
  • Demonstrated cultural humility and ability to engage with others in conversations about
  • race, culture, and equity
  • Current authorization to work in the United States
QUALIFICATIONS - PREFERRED:
  • Master's degree in Data Analytics, Project Management, Public Health or Project Evaluation
  • Knowledge of or experience with BPS Platforms
  • Knowledge of or experience with students with acute health needs
  • Experience in office coordination within a large organization
  • Experience managing and implementing projects
  • Knowledge of administrative procedures in large school district, prefer experience within BPS
  • Experience working in or with large urban schools/districts
