Assist the Associate Dean with the following tasks: type and copy correspondence, reports, and related materials for the Academic Dean and assigned faculty; maintain academic files; maintain strict confidentiality and abide by all FERPA guidelines; prepare travel forms for faculty; receive, open, sort and initiate action on incoming and outgoing mail; answer office's main phone line and respond to all messages in a timely manner; take and forward accurate messages to faculty and Academic Dean; post notices to inform students if classes are late or have to be canceled; course evaluation program each semester; serve as the campus compiler for tenure and promotion candidates, mid-term grade reporting each semester, create and distribute academic probation and suspension letters, prepare and edit course schedules; coordinate Awards Program and Teacher of the Year nomination; proctor tests as needed; purchase office supplies for Academic Affairs. Provide general support for students seeking assistance with setting up their Self-Service Carolina/Blackboard/DUO Mobile accounts, registering their classes in Self-Service Carolina, navigating their Blackboard course sites and other basic functions across those student platforms that they may need assistance with. May also provide this type of assistance to instructors who seek it while in Academic Affairs.

Oversee Student Academic Success Center, including identifying, hiring, training, supervising, and evaluating tutors, if necessary maintaining coverage of the Center if no tutors are available, approving timesheets for all tutors, planning and executing Center events and personal/educational/career related workshops, supporting social media presence of the Center, procuring materials and supplies, maintaining and annual inventory or equipment and supplies, maintaining important university resources for students, maintaining budget within established policies and budget parameters, maintaining pertinent records of Center visits, serve on university committees as appointed, developing/maintaining manuals for professional tutors and peer tutors, engaging faculty and staff to champion student use of Center, seek opportunities to partner with faculty and staff to deliver systems of holistic support for students at all stages of their education program, and maintain online tutoring program.

In collaboration with the Associate Dean, develop and implement a retention plan that specifies effective retention and success initiatives. Use data to assess the efficacy of the retention plan. Communicate plan to university stakeholders. Work with the Center for Integrative and Experiential Learning (CIEL) and CIEL campus coordinator to promote activities related to integrative and experiential learning and Graduation with Leadership Distinction.

Maintain an academic advising load of USC Union students seeking an Associate degree, and if needed, Palmetto BOL/BLS students. This includes scheduling advising appointments with these students to select classes for the upcoming semester, helping them find answers to questions that they may have, assisting them with application deadlines for scholarships and graduation, and keeping them on track to meet degree requirements, etc.

Engage in professional development and training opportunities relevant to the services provided by the Office of Academic Affairs, including Class Climate, Academic Advising, etc.

Assist with special campus events and other administrative duties as assigned.

Minimum Qualifications

Preferred Qualifications



Familiarity with USC Union Academic Programs and USC database familiarity.

Position requires excellent computer skills. Must have great communication skills. Must be able to interact and work well with administration, faculty, staff, students, and general public. Must have the ability to analyze situations, academic programs, and problems. Must be organized, dependable and trustworthy.
