Under the general supervision of the Interim Manager of the Guardian Scholars Program, the Program Coordinator performs a variety of complex and/or sensitive professional student service work for the Guardian Scholars Program. The Guardian Scholars Program develops and coordinates support programs for former foster youth and students who hold other independent identities. The work includes analysis of needs, considerable advisement of policy and eligibility requirements, and the use of planning, interviewing, and counseling techniques.



The Program Coordinator will work collaboratively with internal and external partners and stakeholders that will make it possible for programs and activities to be sustained. Recruit, hire, train, supervise, and evaluate student employees in a manner that empowers them to lead their own special projects and achieve desired outcomes. The Program Coordinator will coordinate GSP marketing, publicity, and social media efforts. Works jointly with the Guardian Scholars professional and student staff to coordinate the daily operations of the center, including the facilitation and hosting of campus visits by precollegiate programs, middle schools, high schools and community partners.



Key Responsibilities


  • Assist in the development, implementation, and assessment of Trauma Informed programming to assist current and former foster youth, independent students and unhoused students in their transition from high school and community college to SJSU and focus on student retention and persistence to graduation.

  • Coordinating program tutoring, college strategy courses, events, and life skills trainings/Workshops.

  • Participates in foster youth advocacy and advisory councils. Responsible for responding to all Guardian Scholars referrals received.

  • Assists with the admissions process and program intake process including receiving and reviewing GSP applications and following up with students with incomplete applications.

  • Coordinates day-to-day operations of the Guardian Scholars Lounge, including front-desk coverage, event calendar management and scheduling.

  • Provides administrative support including but not limited to photocopying, scanning, faxing, and filing documents.

  • Attends conferences/meetings and maintain a working knowledge of developments/legislation on issues addressing current and former foster youth, access and equity programs, and academic advising.

  • Receives, processes, and directs all communications (mail, email, phone calls) to appropriate persons in the unit or to other departments.

  • Collects, analyze and maintains data to be used for statistical reporting for the Program Director.

  • Assist in the development of culturally appropriate marketing and publicity materials such as flyers, emails, newsletters, posters, presentations, brochures, videos, websites, and social media platforms.

  • Creates, manages, and sends out monthly electronic-newsletters highlighting support services and resources specific to students in the Guardian Scholars Program

  • Guide and help to develop student employees in their social, leadership, academic, and identity development; Advocate for their holistic well-being.

  • Monitor student employee/intern work hours to ensure they are not exceeding allowable work hours in a week.

Knowledge, Skills & Abilities

  • Thorough knowledge of and skill in working with historically underserved student communities.

  • Knowledge of multicultural and identity development and frameworks for related diversity training.

  • Knowledge of local and national community organizations that support current and former Foster Youth and unhoused student population (i.e. John Burton, McKinney Vento Liaisons, Pivotal, The Hub, etc.)

  • Knowledge of assessment techniques and ability to develop cohesive reports.

  • Ability to use a broad range of computer skills and software.

  • Ability to prepare various documents including operations manuals and procedures, program and activity schedules, proposals, and monitor budgets.

  • Ability to conceptualize program functions and procedures and implement those relevant to improving program efficiency.

Required Qualifications

  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field

  • Two years of professional experience in one of the student services program areas or in a related field. A master's degree in a job-related field may be substituted for one year of professional experience.

Preferred Qualifications

  • Master's Degree in Social Work, Human Services, Psychology, or other related field

  • Two or more years of professional experience in higher education or student affairs.

  • Experience working with students who have experienced foster care, out-of-home placement, and/or homelessness, and are first-generation.

  • Ability to cultivate a sense of belonging amongst students; advise students and connect them with relevant resources.

  • Ability to be inclusive of a diverse student population, faculty, staff, and the public; and ability to establish and maintain cooperative working relationships with a variety of individuals.

  • Working knowledge of the Maxient database system, Canvas, Oracle/PeopleSoft, CSU Common Management System or equivalent student information system; and Google Workspace and calendaring programs.

  • Experience with (i.e. PeopleSoft, FileMaker Pro, Excel Spreadsheet) or comparable databases.

  • Program planning and coordination including budget management.

Classification: Student Services Professional II

Anticipated Hiring Range: $4,610/month - $4,727/month

CSU Salary Range: $4,610/month - $6,556/month
