Reporting to the Director of Real Estate, the Real Estate Specialist 4 will act as the first point of contact, and subject matter expert for the real estate needs of Penn State Campuses or University Business Units within a defined territory. This critical role on the University Real Estate Services team is responsible for managing the contract and lease negotiation process for its assigned Campuses and Units, including tracking critical dates, completion of transaction documents, leading due diligence collection efforts, and providing guidance to its customers on industry best practices to ensure the University?s financial resources are utilized efficiently and wisely. Typical transactional activity can range from space or land leases to acquisitions and dispositions, easements and other right of way activities, but can consist of anything that impacts the University?s real property interests. In addition, the successful candidate will assist the department with developing, implementing, and supporting the administrative infrastructure of a complex and widely dispersed real estate footprint, including process and procedure development, improvement and implementation.

PRIMARY RESPONSIBILITIES
  • Support all aspects of the University?s real estate interests for a defined territory, including leases, acquisitions, dispositions, and other transactional activities.
  • Independently ensure the timely development, negotiation and execution of new and renewal leases or contracts, verifying business terms comply with University policies, procedures, industry best practices and legal regulations.
  • Coordinate and collaborate with multiple stakeholders and University departments to ensure all impacts of a proposed transaction are fully vetted before initiation.
  • Maintain system to track critical dates, coordinating timely exercise of lease options, renewals and other option rights, and elevating as needed to the Director of Real Estate.
  • Coordinate abstracting of leases and other transactional documentation within the appropriate University database.
  • Coordinate and complete any financial investigations related to payment requests, expense reimbursements, reconciliations, audits and other payment disputes.
  • Complete regular market analysis research, including confirming industry real estate trends, for the communities surrounding assigned campuses and business units.
  • Evaluate existing leases and contracts for potential risks, improvements, and compliance with University policies and procedures. Report discrepancies to Director of Real Estate and troubleshoot for prompt resolution.
  • Assist in conversion of all existing paper files to an electronic format.
  • Research and interpret lease clauses to address internal customer questions and concerns, then assist to troubleshoot and resolve.
  • Resolve Landlord and Tenant disputes.
  • Lead or participate in projects and initiatives as a department representative, cross-functional team member or individual contributor.
  • Other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
  • Strong proficiency with Microsoft Office 365, including Excel, Word, PowerPoint, Teams, etc.
  • Competency in e-signature software and typical lease databases preferred.
  • Strong attention to detail and proactive organizational skills.
  • Proven self-starter with drive to succeed.
  • Excellent analytical skills, as well as ability to think outside the box to identify solutions to problems.
  • Strong customer-oriented interpersonal communication skills, written and verbal, with a strong focus on promoting collaboration and relationship building.
  • Proficient understanding of lease terminology, calculations, financial terms and principles.
  • Proficient understanding of local, state, and federal real estate laws, as well as current best practices.
  • Contract and lease negotiation experience, both on behalf of buyer/tenant and seller/landlord.
  • Treats sensitive business information in a confidential and professional manner.
  • Prioritizes multiple tasks in a high-volume, fast-paced environment.
  • Works with minimal supervision as well as takes direction from multiple managers.
  • Identifies University needs and commits to responding in agreed upon timeframes.
  • Works harmoniously in a team environment, with a positive outlook and attitude.
  • Organizes, directs and motivates others.
TRAVEL
  • Limited to day trips, approximately 5% of the time.
TYPICAL QUALIFICATIONS

Education and Experience

Typically requires a Bachelor's degree or higher plus 2 years of related experience or an equivalent combination of education and experience. Degree in Business or related Real Estate or Legal field preferred. Previous experience in commercial transactional real estate is preferred. Previous experience in the higher-education industry is helpful.

Licensing
  • A current Pennsylvania real estate salesperson license is not required, but prior licensed experience representing clients is preferred.
?Due to the financial and fiduciary responsibilities of this position, successful completion of a credit history check will be required in addition to standard background checks.
