Title: Administrative Assistant; Superintendent, Teaching & Learning and School Board

General Definition of Work: The Administrative Assistant will perform intermediate skilled human service work providing support to the Superintendent, Director of Teaching and Learning, and School Board. The Administrative Assistant plays an integral role in the daily administrative operations for the school district, at a high level with minimal supervision.

Essential Functions:

Serves as the clerk to the school board; prepares board agendas and packets for meetings; takes minutes of board and other committee meetings; transcribes, prepares and distributes meeting minutes; arrange for publication of approved minutes as required by law, follow up on school board decisions and requests, provides parliamentary procedures to the Vice-Chair and Chair, amends and prepares new contracts as needed.

Greets visitors, citizens and customers; answers telephone; provides information; forwards calls to appropriate party; assists the public with the completion of records, applications, etc., directs visitors to appropriate parties; handles inquiries and complaints.

Manages the school board levy referenda election procedures; recruit judges, arrange for absentee ballots and report resolute to the county auditors, superintendent and school board.

Maintains the district policies and assure that procedures are established for dissemination of new policies; coordinate and attend policy meetings, record minutes.

Assists with a wide variety of fiscal information for superintendent and teaching and learning departments; monitor account balances and related financial activity for the purpose of ensuring allocations are accurate, related revenues are generated, expenses are within budget parameters and/or fiscal practices are followed.

Reconciles account balances as assigned, manages federal grants through the state system, ensuring accurate account balances.

Plans/schedules time, facilities and equipment/services for meetings, workshops, special events, receptions, etc.

Provides historical information related to school board agendas, official activities and decisions.

Maintains appointment calendars; processes registration and payments for the school board members, superintendent, teaching and learning departmental staff and staff attending conferences, trainings and/or meetings.

Completes special projects and reports for departmental staff; compiles statistics and gathers data as requested by departmental staff.

Maintain MDE website as Identified Official Authority for MDE Secure Websites.

Maintain Home School files and database; send out annual notices and communications.

Assists with civil rights data collection and reporting responsibilities.

Assists with in-district nonpublic schools on ESEA budgets and activities.

Performs other duties as apparent and/or assigned.

Knowledge Skills and Abilities:

Thorough experience working in Microsoft Office and Google Suite; specifically Word, Excel, Docs and Sheets, able to utilize in analyzations, communications and computations regularly.

Knowledge of school district policies, procedures, guidelines preferred.

Knowledge of laws including Pupil Fair Dismissal Act, Open Meeting Law, MN Governmental Data Practices Act and related data privacy laws, Family Educational Rights and Privacy Act and MN Election Laws preferred.

Knowledge of parliamentary procedure and Robert?s Rules of Order preferred.

Thorough skills collecting and disseminating data to support programming needs.

Thorough skill creating, analyzing and interpreting standard correspondence.

Thorough skills operating standard office equipment and related hardware and software.

Ability to make arithmetic computations using whole numbers, fractions and decimals; ability to compute rates, ratios and percentages.

Ability to express communications effectively both orally and in writing; ability to apply judgment in dealing with angry, hostile or uncooperative individuals.

Dealing appropriately with outside requests for information, access to managers of the district, or for materials using sound office etiquette and in accordance with district procedures and data privacy issues.

Ability to complete work accurately and reliably; planful, prioritize and organization complex functions.

Ability to establish and maintain effective working relationships with school officials, teachers, students, families and community members.

Ability to become a Notary Public and maintain associated responsibilities.

Education and Experience

Bachelors Degree in business administration, communications, organizational development, education and/or similar, or equivalent combination of education and related experience preferred. * Three to five years experience working in a fast paced, professional office environment providing administrative support.

Compensation & Benefits

Salary compliments skills, experience and qualification with a 260 day contract, and salary of $63,536.
