Job description: Provide academic advisement to current and prospective graduate students pursuing online and on campus graduate programs by participating in the planning and conveyance of academic advising/counseling services and programs that promote comprehensive educational opportunities for all students. Process graduate student admissions. Provide professional advisement through an assigned student caseload offering guidance and information to supplement and enhance the academic experience, student retention, and completion.

Essential Duties and Responsibilities


  • Provide complete and accurate academic advisement to current and prospective graduate students who wish to pursue graduate programs.

  • Process graduate student admissions by maintaining numerous spreadsheets, collecting required TEA student documents, entering Basis of Admission provided by graduate admission's committees, and emailing welcome materials to new student admits.

  • Provide guidance on academic topics such as degree requirements, relevant course selection, and provide students with assistance in setting and achieving educational and career goals.

  • Help students make informed academic decisions teaching them how to track their own academic progress, locate and interpret appropriate policies, and use available tools and resources available.

  • Monitor the academic progress of a student caseload. This includes:



  • Proactive outreach to provide students with just-in-time assistance.

  • Conduct verification of degree progress, remove holds, and approve various forms to ensure timely student progression, etc.

  • Work with Faculty Advisors and Program Coordinators to ensure students receive a Program of Work and enroll in the correct class for their degree/certificate.

  • Analyze and interpret student data, transcripts, and placement results.

  • Enter advising notes into MyMav following best practices for documenting student appointments/contacts.



  • Prepare for and document appointments, answer emails, complete degree audits, process add/drop forms.

  • Advisor may regularly be scheduled to work outside of normal business hours.

  • Maintain a clear understanding of all applicable federal, state, and University policies and procedures.

  • Keep informed of relevant academic programs and support services such as counseling and tutoring within a College and University and provide appropriate referrals to students.

  • Represent the College of Education at events on campus. Assist with planning and/or staffing College of Education events (Commencement, Career Day, etc.).

  • Performs other duties as assigned.

Required Qualifications

  • Bachelor's degree in a related field or equivalent relevant experience.

  • Excellent communication skills.

  • Experience with MS Office (Word, Excel, Outlook, etc.)

Preferred Qualifications

  • Master's degree in related field with one (1) year of experience working with college students or adolescents in an advising capacity or the equivalent experience.

  • Accuracy in evaluating and articulating information on students to faculty and administrators and in interpreting institutional rules and regulations and other information.

  • Experience in admissions and/or recruitment of college/university students. Knowledge in Texas Education Agency (TEA) policy.
