What we want

We're seeking an Administrative Coordinator who has a passion for conducting research and analysis as you will independently analyze and identify research to be included in the Mays Business School?s research database. Supporting our faculty is key while you coordinate logistics associated with the printing, assembly, and distribution of course materials and update all class hand-outs from year-to-year and prepare class Microsoft PowerPoint presentations. We're seeking a person who enjoys communicating and planning with others as you will oversee and coordinate in-town, national, and international speaking engagements of professors, including logistics of travel, hotel, and ground transportation, etc., per university guidelines. You will also get to monitor and respond to incoming telephone calls from parties interested in establishing research projects or requesting speaking engagements for professor. A skilled communicator is paramount as you will work collaboratively with colleagues in the marketing department and Mays Business School, e.g., helping other staff in organizing departmental events, coordinating issuance of press releases with the Mays MarComm group. Required Education and Experience:
  • Bachelor?s degree or equivalent combination of education and experience.
  • Two years of experience in office administration.
Required Knowledge, Skills, and Abilities:
  • Knowledge of spreadsheet, database, and presentation applications.
  • Interpersonal and communication skills coupled with planning and organization skills.
Preferred Qualifications:
  • Administrative support in higher education setting.
Essential Duties/Tasks
  • Administrative Support - Research - Conducts literature searches of medical and other academic databases for faculty research projects. Provides technical support/assistance to the research team. Contacts various officials in business and professional organizations to obtain relevant information to support ongoing research that will be used in the publication of articles. Orders books and materials for research purposes. Creates and executes plan to promote current published work on social media; creates and maintains professional social media and web pages.
  • Administrative Support - Teaching - Monitors the various eCampus websites. Oversees the Howdy website for courses. Develops logistics of visiting class speakers. Record-keeper for courses. During times of remote delivery of classes, assists with technical matters, monitors student attendance and the Chat comments/questions. Helps students experiencing connectivity or other issues.
  • Office Administration, Travel/Meeting Coordination - Analyzes and responds to requests by the media, academicians, and other interested parties for specific research manuscripts or publications. Coordinates travel arrangements, meetings, itineraries, and onsite support for visitors, executives, healthcare professionals, and faculty. Organizes meetings. Organizes files, orders supplies, and makes recommendations for process improvements. Participates in organizing departmental events.
  • Office Administration, Department of Marketing - Department Head and/or Assistant Department Head will assign duties to assist other faculty and staff members, as needed. These duties will focus, broadly, on the research, teaching and service mission of the department. Assist with organizing meetings and departmental events (e.g., research seminars, faculty meetings, and academic programs).
