The Opportunity

The Sibley School of Mechanical and Aerospace Engineering is seeking a Teaching Programs Administrator. You will be a vital part of our, working under the general supervision of the Director of Undergraduate Studies and the Director of Administration. Your responsibilities will encompass various aspects of course and curriculum management, ensuring the smooth operation of our educational programs, including undergraduate and graduate courses, distance learning offerings, and cross-listed courses.

Key Responsibilities:
  • Course and Curriculum Management: Manage course offerings for approximately 130+ active courses annually, including curriculum updates, cross-listings, and coordination of distance learning courses.
  • Summer Session Coordination: Oversee the planning and administration of summer session course offerings, including enrollment, scheduling, and faculty hiring.
  • Catalog Updates: Ensure accurate and up-to-date catalog copy in the Courses of Study, reflecting changes in course offerings and program details.
  • Enrollment and Administration: Organize and administer course enrollment processes, manage add/drop procedures, and oversee classroom scheduling.
  • Grade Submission: Facilitate grade submission processes, maintain course rosters, and ensure timely and accurate grade submissions in compliance with University and College data retention and security policies.
  • Undergraduate TA Coordination: Coordinate the hiring and placement of undergraduate Teaching Assistants, serving as a resource for TA policies and procedures.
  • Forms and Petitions: Process forms and petitions from students, providing necessary follow-up and guidance as required.
  • Liaison with College Registrar: Act as the liaison between our department and the College Registrar, ensuring compliance with university policies and procedures affecting course offerings.
This is a full-time (39hours/week) endowed position that is based in Ithaca, NY. This position follows a 4:1 campus-to-home hybrid work schedule. Work hours will be either 8:30am-5pm or 8am-4:30pm Monday through Friday. Work hours will be mutually agreed upon on.

What We Need

We are looking for a team member who loves database work, process management, automation, and workflows. Additionally, you will:
  • Have experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.
  • Hold an Associates Degree with 2-3 years of experience in curriculum management, course scheduling, or combination of education and experience.
  • Be experienced with database building or management, website maintenance, and strong oral and written communication skills.
  • Be an effective steward of own and other?s time, with an aptitude for organizing and maintaining timelines for others?always keeping in mind the larger mission of the department and the University.
  • Demonstrate sound judgment within sphere of influence, and be able to take empowered action when there are unknowns.
  • Pay careful attention to details, and have a strong track record of following through on logistics thoughtfully and in a timely fashion.
  • Be self-motivated, able to break down projects into actionable tasks, and have a sound method for determining and prioritizing tasks that are both urgent and important.
  • Have strong communication skills, be proactive and skillful about addressing issues.
  • Desire to build productive relationships and trust with a diverse constituency of faculty, staff, leadership and other staff in the department and partner units within the College of Engineering and at the University.
