We are seeking an exceptional individual to join our team as the Business Careers Operations Coordinator (Administrative Support Coordinator II). The Business Careers Operations Coordinator leads the administrative functions for Cal State Fullerton's College of Business and Economics Career Services. With a comprehensive knowledge of university policies and procedures, the Business Careers Operations Coordinator is responsible for creating and processing D11s, invoices, purchase orders, check requests, travel requests and reimbursements, procurement card reconciliation, and tracking expenses and prepares reports. Additionally, the Business Careers Operations Coordinator oversees student assistant hiring, reception area, and supply ordering. Creates and runs reports in Handshake, provides system training and technical support to colleagues, students and Business Careers' partners. Analyzes procedural problems, troubleshoots issues, recommends, and evaluates proposed solutions, and communicates results. Regularly reviews and revises procedures and policies for Handshake and other platforms used by Business Careers.
With minimum supervision, coordinates day-to-day event planning and execution of administrative tasks, including creation of event registrations/event payment collections. Provides support to employers and students for the events, survey creation and distribution, and post-event analysis and recommendations. Leads the marketing efforts within the office, collaborates with internal staff, campus departments and partner universities in creating and distributing marketing materials, coordinates the promotion of career opportunities and events to students through various channels such as emails, social media, and website. Other duties as assigned.
Essential Qualifications
High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.
A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
Preferred Qualifications
Bachelor's degree from an accredited four-year college or university.
General knowledge of community and higher education issues. Familiarity with a campus environment/higher education. Experience working with students. Knowledge of social media and marketing resources, including LinkedIn, Constant Contact, Facebook, Instagram, Hoot Suite, and other related resources. Basic knowledge of Adobe Illustrator, InDesign, Photoshop, Canva, Microsoft Publisher, or other creative design software. Proficiency using Adobe Illustrator, InDesign, Photoshop, and Microsoft Publisher or other creative design software. Experience with event coordination. Experience providing technical support with academic or career-based platforms.
License/Certifications
Valid California driver's license.
