Responsibilities
Specific areas of responsibility include, but are not limited to:
Technology
? Staff equipment management
? Hardware and software licensing oversight
? Firm meetings technology support
Event Management Oversight
? Manage annual meetings calendar
? Staff meetings
? Manage venues, menus, and budgets
? Prepare and coordinate agendas
? Manage venue contracts and deposits
? Block Training
? Manage logistics
? Partner with training department on agenda preparation
? Manage communications to staff
? Manage budget, venue contracts and travel
? Annual Awards
? Manage logistics and agenda
? Coordinate staff gifts
? Oversee communications to staff
? Handle all budgets, venue contracts and oversee travel planning
? Marketing/recruiting event support (as needed)

Communications
? Internal updates
? SharePoint intranet site
? Emergency alert system
? Telephone systems
? Video conferencing
? Client information survey
? Office365 and integrations

Bill.com - client portal
? Maintain and manage client portal support team
? Develop marketing and support guides for staff to use when working with clients
? Ensure firm policies are being upheld and tracked

Facilities
? Lease management
? Office management
? Office security contracts
? Office maintenance contracts

Legal and Compliance
? Oversee state registrations, licensing
? Commercial insurance
? Contract management

Other projects as necessary

Qualifications

Background
? A BS/BA degree from an accredited college/university ? major in business preferred
? 10 years of relevant management experience, preferably within a professional services firm or other outsourced environment.

Skills and Competencies
? Demonstrated ability to help strategize, plan, and execute our firm initiatives.
? Continuously assesses YPTC processes to identify and suggest areas of improvement.
? Effectively communicates with executives, providing high level specifics and decisive recommendations based on research and metrics.
? Maintains a clear understanding of YPTC policies and procedures to communicate those to staff and utilize when implementing new programs or processes.
? Can read and evaluate contracts, identify risks, and negotiate needed changes.
? Possesses a good understanding of laws and regulations relevant to the operations of a national accounting firm.
? Efficiently manages YPTC communications with staff and clients to ensure that each group has the information they need, when it is needed, and with a consistent voice.
? Ensure that YPTC?s has office space, leased or drop-in, meets the needs of each geographic market. With the COO, Operations Manager manages these leases to ensure there is sufficient time to assess and relocate when needed.
? Ability to produce fine-tuned highly organized events in a way that ensures good use YPTC?s time and resources.
? A demonstrated ability to coordinate efforts between departments and work collaboratively with all members of YPTC.
? Ability to actively manage teams and delegate as needed. This individual is likely to directly manage staff soon and should be ready and willing to do so.
? Willingness to develop an established network of people in relevant fields (legal, technology, facilities management, maintenance, event management, etc.) who may be called upon for assistance.
? A demonstrated entrepreneurial drive and approach to problem solving.
? A commitment to ongoing continuing professional education, in whatever form is appropriate, to improve and expand existing competencies, and to add new competencies.
? A willingness to travel up to 20%.
? While YPTC endeavors to maintain a balance between work and personal life, it is expected that the Operations Manager will be reasonably available, if needed, by phone and email outside of normal working hours.
? Similarly, while it is our desire to minimize overtime, the Operations Manager should expect to work whatever hours are needed to meet mutually agreed upon deadlines and deliverables.
