Position Summary:
As an Administrative Assistant Apprentice, you will learn the ropes of estate and letting agency operations while gaining practical experience. You?ll assist with administrative tasks, interact with clients, and contribute to the overall efficiency of our office.
Key Responsibilities: 1. Front Desk Operations: o Greet clients and visitors warmly, directing them to the appropriate team members. o Answer phone calls, handle inquiries, and transfer calls as needed. o Maintain a professional and welcoming reception area.
2. Document Management:
o Assist in preparing property listings, contracts, and tenancy agreements.
o Organise and maintain physical and digital files.
o... Update property databases and ensure accuracy of information.
3. Client Support:
o Respond to client queries via email, phone, or in person.
o Schedule property viewings and manage appointments.
o Provide excellent customer service, addressing client needs promptly.
4. Administrative Tasks:
o Handle incoming and outgoing mail.
o Order office supplies and maintain inventory.
o Assist with data entry, photocopying, and scanning.
5. Marketing Assistance:
o Collaborate with the team to create property brochures and online listings.
o Update property details on our website and other platforms.
o Assist in organising property open houses and promotional events.
6. Team Support:
o Work closely with estate agents, property managers, and other team members.
o Coordinate meetings, take minutes, and distribute agendas.
o Assist with any ad hoc tasks as required.
What will I learn?
You will learn how to work in a busy office environment, working with our bespoke IT systems and become part of a team.
What qualifications or qualities are required?
