Job Title: Real Estate Transaction Coordinator for High-Volume Agent (Pennsylvania Contracts)

Job Description:

We are seeking an experienced, detail-oriented, and proactive Real Estate Transaction Coordinator to join our team and support a high-producing real estate agent. The ideal candidate will have experience with Pennsylvania Real Estate Standard Agreement of Sale contracts and a solid understanding of the real estate transaction process, including contract management, title company coordination, and client communication.

This is a part-time to full-time remote position with flexible hours, but the ability to work efficiently and meet deadlines is essential.

Key Responsibilities:

  • Contract Management: Draft, review, and manage Pennsylvania Real Estate Standard Agreement of Sale contracts. Ensure accuracy and compliance with all legal and company requirements.
  • Offer Creation: Assist with writing and submitting offers for buyers and sellers, ensuring all necessary documentation is included and properly executed.
  • Coordination with Title Companies: Facilitate communication between clients, the title company, lenders, and other parties involved in the transaction. Ensure all necessary documents are submitted to the title company for a smooth closing process.
  • Transaction Workflow Management: Oversee the entire transaction process from contract execution to closing. This includes scheduling inspections, appraisals, and ensuring all contingencies are met on time.
  • Communication: Act as the primary point of contact between clients, agents, title companies, lenders, inspectors, and other third parties. Provide regular updates to clients and agents throughout the transaction.
  • Documentation and Compliance: Ensure all documents are complete, accurate, and stored securely. Maintain compliance with all state and federal real estate laws, including fair housing regulations.
  • Problem Solving: Proactively address any issues or delays in the transaction and ensure smooth resolution. Handle last-minute changes and keep the deal on track.
  • Closing Coordination: Work closely with the agent, title company, and clients to ensure all paperwork is completed for a smooth closing. Confirm that all necessary signatures, funds, and documents are in order prior to closing day.

Required Qualifications:

  • Experience with Pennsylvania Real Estate Contracts: Extensive experience working with the Pennsylvania Real Estate Standard Agreement of Sale (or equivalent). Must be familiar with the terms, clauses, and contingencies unique to Pennsylvania contracts.
  • Transaction Coordination Experience: Proven experience as a real estate transaction coordinator or similar role.
  • Familiarity with all phases of a real estate transaction, from contract initiation to closing.
  • Offer Writing Skills: Experience in drafting and submitting offers for residential real estate deals, including knowledge of contingencies and contractual obligations.
  • Strong Organizational Skills: Exceptional ability to manage multiple transactions simultaneously, stay organized, and meet deadlines.
  • Excellent Communication: Strong written and verbal communication skills. Ability to interact professionally with clients, agents, title companies, lenders, and other stakeholders.
  • Technology Proficiency: Comfortable using real estate software and tools (e.g., DocuSign, DotLoop, TransactionDesk, MLS systems). Knowledge of CRM systems is a plus.
  • Attention to Detail: Must have a keen eye for detail to ensure that all contracts, documents, and deadlines are handled meticulously.
  • Customer-Focused: A proactive, service-oriented approach to helping clients and other parties through the transaction process.

Preferred Qualifications:

Real Estate License: A valid real estate license in Pennsylvania is a plus, but not required.

Experience with High-Volume Transactions: Previous experience supporting high-producing real estate agents with multiple active transactions at once.

Knowledge of Local Market: Familiarity with Pennsylvania?s real estate market, including local regulations, is highly preferred.
