About the position

Aeroflow Healthcare is seeking a highly organized and detail-oriented individual to join our team as a Payroll and Benefits Specialist. In this remote opportunity, you will play a crucial role in ensuring accurate and timely processing of multi-state payroll for our 750 employees across 35+ states (and more every day!). You will also be responsible for managing various payroll-related tasks, benefits administration, and supporting related updates to the HRIS process. This position reports to the HR Operations Manager and is an essential part of delivering a world-class experience to Aeroflow's employees. In the Payroll aspect of your role, you will process bi-weekly, multi-state payroll for 750 employees, ensuring accurate and timely payments in compliance with federal, state, and local regulations. You will ensure accurate entry of employee changes (pay, titles, supervisors, new hires, terms, etc.) and maintain employee files as appropriate. Additionally, you will review and resolve exceptions, discrepancies, and issues related to the payroll process, ensuring accuracy and adherence to company policies. Communication with employees and managers regarding time and attendance matters will be a key part of your responsibilities, as will generating payroll reports and performing payroll variance analysis to identify and investigate any discrepancies or irregularities. In the Benefits area, you will ensure benefit changes are applied in a timely and accurate manner, conduct benefits audits, and manage the 401k program. You will also fund and manage Flexible Spending Accounts (FSA) and Health Savings Accounts (HSA), ensuring accurate deductions and reimbursement processes. Your role will involve reconciling benefit invoices, assisting employees with benefits claim issues, and interpreting FMLA and ADA implications as they relate to leaves of absences/disabilities. You will process and administer all leave-of-absence requests and disability paperwork, making recommendations to employee leave policies. As part of the General HR responsibilities, you will maintain up-to-date knowledge of federal, state, and local laws and regulations governing payroll and employee benefits, ensuring compliance with current legal requirements and industry standards. You will also be responsible for maintaining HIPAA/patient confidentiality and may be required to travel to the Asheville, NC area 2-3 times per year. Other duties may be assigned as necessary.

Responsibilities
? Process bi-weekly, multi-state payroll for 750 employees, ensuring accurate and timely payments in compliance with federal, state, and local regulations.

? Communicate with employees and managers regarding time and attendance matters, providing guidance and resolving inquiries promptly.

? Generate payroll reports and perform payroll variance analysis, identifying and investigating any discrepancies or irregularities.

? Identify opportunities for process improvements and efficiencies to enhance payroll & HR processes.
,
? Calculate retro pay for employees, ensuring accuracy and timely payment.
,
? Administer payroll advances and loans, maintaining accurate records and coordinating repayment schedules.
,
? Calculate and manage various types of leave, such as vacation, sick, and parental leave, ensuring accurate tracking and compliance with company policies and legal requirements.

? Collaborate with the team to support updates, enhancements, and maintenance of the HRIS system, ensuring accurate and up-to-date employee data.

? Complete annual reporting including W-2s, ACA, 401K, OSHA 500, Workers Comp, Unemployment, etc.

? Ensure benefit changes applied in a timely and accurate manner.
,
? Conduct benefits audits to ensure accuracy and compliance, including enrollment, changes, and terminations.
,
? Manage the 401k program, ensuring accurate deductions, contributions, and timely submission of funding.
,
? Fund and manage Flexible Spending Accounts (FSA) and Health Savings Accounts (HSA), ensuring accurate deductions and reimbursement processes.

? Accurately reconcile benefit invoices by verifying charges against enrollment records and contract terms.
,
? Assist employees regarding benefits claim issues and plan changes, responding to benefits inquiries on plan provisions, benefits enrollments and status changes.

? Enroll employees with carriers and process qualifying life status changes.
,
? Work with HR benefit partners for escalated support needs, including but not limited to: plan design, claims administration and appeals, COBRA, retirement administration, and HRIS data integrity.

? Effectively interpret FMLA and ADA implications as they relate to leaves of absences/disabilities, processing and administering all leave-of-absence requests and disability paperwork.

Requirements
? Bachelor's degree in Accounting, Finance, Business Administration, or a related field (or equivalent work experience).

? Proven experience in processing multi-state payroll for a large employee population, specifically processing payroll in 25+ states for a minimum of 750 employees.

? Experience with UKG (formerly UltiPro, Ultimate Software, or Kronos) preferred.
,
? Demonstrated knowledge of the Family and Medical Leave Act (FMLA) and the Americans with Disabilities Act (ADA), including their requirements, compliance standards, and implications for employee leave and accommodations.
,
? In-depth knowledge of federal, state, and local payroll laws, regulations, and best practices.
,
? Strong understanding of payroll processes, systems, and tools (e.g., payroll software, time and attendance systems).
,
? Proficient in using HRIS systems for employee data management and reporting.
,
? Excellent communication skills, both written and verbal, with the ability to communicate effectively with employees, managers, and stakeholders.

? Strong problem-solving skills, with the ability to identify and resolve payroll-related issues efficiently.

? High level of integrity and ability to maintain strict confidentiality of employee information.
,
? Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

? Proficient in Microsoft Office Suite, particularly Excel for data analysis and reporting.
