This position is eligible for a hybrid Flexible Work Arrangement (FWA) (on-campus and remote work). FWA arrangements are subject to manager approval and may shift due to changes in business needs. Purpose To coordinate donor stewardship and other high-level administrative projects for the College of Fine Arts development team. Contribute to the successful implementation of the college?s strategic fundraising plan, goals, and objectives. Responsibilities Scholarship Endowment Reporting: Manage scholarship letters, including but not limited to: Design and maintain the letter template, update and maintain the Canvas course (the platform through which letters are collected). Coordinate with the Scholarship Coordinators on the business affairs team, provide support on questions regarding Canvas course. Coordinate with the Development Associate for the Executive Director of Development to review, edit, print and mail letters. Weekly Gift Acknowledgement: Maintain weekly gift acknowledgment according to department policy. Manage and maintain a system of weekly mailed gift acknowledgements based on giving level and department/program designation. Update acknowledgement letter templates and postcards on an annual basis. Create custom gift acknowledgement for special campaigns like UT?s 40 Hours for the Forty Acres. Fundraising: Coordinate the college?s bi-annual participation in UT?s 40 Hours for the Forty Acres online giving campaign. This includes providing support to participating departments, programs, and student organizations within COFA. Provide basic support to COFA-related Hornraiser projects (UT?s in-house crowdfunding program). Data Management: Compile mailing and invitation lists for annual projects and events, including but not limited to: Dean?s holiday cards, stewardship events, Advisory Council events, Arts Next quarterly magazine. Maintain attendance records for all events. With the support of the Assistant Director, maintain Advisory Council records including contact information, member status, and dues payments. Special Events: Plan and implement the college?s participation in the annual university Thanks Day event. Student Employee Management: Staff in-person and virtual development events with hourly employee hires, as needed. Serve as manager of a student employee to assist with gift acknowledgement, as needed. Includes working with College of Fine Arts Human Resources team to coordinate onboarding. Required Qualifications Bachelor's degree or 4 years? experience in an administrative office setting. A minimum of one year of experience assisting a fundraising or development program or providing complex program support. Highly proficient in Microsoft Office, especially Word, Excel (e.g., formulas and formatting), and Outlook. Relevant education and experience may be substituted as appropriate. Preferred Qualifications Three years of experience assisting a fundraising or development program in higher education. Familiarity with fundraising/development and best practices in donor relations. Ability to perform VLOOKUP in Microsoft Excel. Experience using a donor database or similar customer relationship management system. Working knowledge of UT Austin's policies and procedures. Experience with UT?s VIP database and Cognos reporting system. Driving Required This job requires a class "C" operator's driver's license. The applicant selected must provided a current three year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident. Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing). Salary Range $50,000+, depending on qualifications Working Conditions This position is eligible for a Hybrid Flexible Work Arrangement (remote + on-campus). Repetitive use of a keyboard at a workstation Prolonged screen time Use of manual dexterity. Lifting up to 25 lbs. (event supplies). Work Shift Monday - Friday, 8am ? 5pm. Occasional evenings for special events (3 ? 4 times per year).
