In this part-time role (10 hours/week), you'll be responsible for:
- CEO Time Optimization: Ensure the CEO's time is maximized effectively, recommending and making adjustments to daily schedules based on shifting priorities.
- Task Management: Align the CEO's tasks and projects with the organization's strategic objectives, tracking and ensuring follow-up action items are completed.
- Communication Triage: Prioritize and assist in response to emails, calls, and requests addressed to the CEO, determining which require immediate attention and which can be deferred or delegated.
- Calendar Management: Organize and schedule meetings, appointments, and events for the CEO, ensuring scheduling conflicts don't occur.
- Document Preparation: Create, edit, and proofread business documents, presentations, and reports.
- Meeting Coordination: Coordinate and oversee logistics for board meetings, company-wide events, and other initiatives, ensuring the CEO is well-informed and equipped to handle all discussions.
- Feedback Loop: Act as a sounding board for the CEO, providing feedback on various matters from an operational perspective.
- Team Liaison: Serve as a bridge between the CEO and the executive team, facilitating clear communication and ensuring organizational alignment.
- Special Projects: Assist with or lead on special projects that drive social impact and support the organization's mission.
To excel in this role, you'll need:
- Bachelor's degree or equivalent work experience.
- Five years of experience as an Executive Assistant, preferably with direct experience managing or supporting a CEO or senior executive.
- Exceptional organizational and multitasking skills, with the ability to think several steps ahead.
- Excellent written and verbal communication abilities.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- High emotional intelligence, with the ability to anticipate needs and think critically.
- Proven ability to handle sensitive and confidential information with discretion.
- Adaptable and resilient in fast-paced environments, with a commitment to continuous learning and improvement.
