The Thornton School of Music, USC is home to more than 185 faculty and 1,000 music majors divided into three divisions: Research and Scholarly Studies, Classical Performance and Composition, and Contemporary Music. Founded in 1884, and today the oldest continually operating cultural institution in Los Angeles, USC Thornton consistently ranks among the top one percent of the nation?s music schools and conservatories. Graduates of the school attain positions with major orchestras, ensembles, recording studios and music industry firms and perform on stages and in studios around the world.

The Contemporary Music Division is searching for a stellar Program Coordinator of Music Technology and Screen Scoring who will provide planning, production and administrative support to all Scoring and Recording Sessions for the Division, both on and off campus.

The primary responsibilities include coordinating session details in partnership with music contractors, recording studios and Thornton faculty. Other specific duties include reviewing union contracts, assisting in program budget oversight and vendor payments, hiring, and paying student musicians, handling session logistics, planning and scheduling sessions in coordination with both Scoring and Music Technology faculty chairs. Secondary responsibilities will include Division-wide projects and initiatives as assigned by the Vice Dean and the Division Manager.

Event Planning and Scheduling Support:
  • Coordination of personnel or equipment to offsite sessions and events.
  • In coordination with Chair, plan schedule of departmental events; maintain
department calendar.
  • Coordinating guest visits to campus, including industry professionals.
  • Work with Music Operations to schedule final projects.
  • Manage departmental Zoom events and meetings.
  • Scheduling and individual instruction in on-campus studios.
  • Ensemble management for select events.
  • Scheduling of program juries each semester and annual program
auditions.

Financial Management:
  • Budget tracking in Workday Financial.
  • Opening requisitions and purchase orders in Workday Financial.
  • Vendor contracting onboarding in the USC system, required paperwork,
invoicing.
  • Paying student workers, guest musicians and guest speakers.
  • Handling on campus purchases and financial transfers.
  • Processing faculty reimbursements.
  • Booking faculty travel and conferences.
Data Management and tracking:
  • Departmental clearance for individual instruction and registration
management.
  • Preparing reports on student lessons.
  • Preparing reports on faculty, teaching assistant, and student instructor
teaching loads.
  • Tracking final grading for program classes, lessons, and ensembles.
Administrative Support to the Program Chair of the Music Technology and Screen Scoring Programs:
  • Meet consistently with Chair to inform and help with administrative
functions and meet deadlines as needed.
  • Assist Chair with communication within different areas of the school and
university.
  • Consult with Chair to facilitate preparation of schedule of classes.
  • Providing general administrative support to Chairs and program faculty.
  • Manage Zoom meeting schedules for various faculty, student, and
prospective student meetings.
  • In coordination with Chair, send regular communication to faculty and
students.
  • In coordination with Chair and Student Affairs, schedule comprehensive
exams.
  • Attend meetings as needed.
Preferred qualifications:
  • Bachelor?s degree, with 2 years of directly related professional experience
working in administrative support of a related academic program or related
music industry role.
  • Training and/or experience in music education or performance.
  • Experience working with music contractors and union agreements.
  • Experience with fiscal and vendor management.
  • Knowledge of Workday Financial system a plus.
  • Advanced knowledge of Word, Excel, Google Docs, Outlook.
  • Exceptional customer service and team mindset.
  • Highly organized, self-starter, with attention to detail.
  • Excellent time management skills & able to succeed in a deadline-driven
environment while maintaining high customer service delivery standards.

In addition, candidates should have excellent communication skills, be a strong collaborator, and fully embrace the mission of the Thornton School and Division of Contemporary Music. A high level of professionalism and the ability to work both independently and as a team member are essential.

Position requires scheduling flexibility; this is essential as some evenings and weekends required to facilitate and assist off-site recording sessions.

Salary Hiring Range:

The hourly base salary range for this position is $27.50 - $30.50.
